You’ve heard about password managers, and you might even know you should be using one, but the hassle of setting one up has you stumped. The change of habit is also hard for many people. Never fear: Password managers are easy and you need one. Here’s the top 5 reasons why.

1. It’s easier than not using one.

No matter what method you use to manager your passwords today, I promise that using a password manager is easier.

It’s an assistant that fills in forms and passwords for you. It can create a different random password for each website and you don’t have to remember anything. It also syncs all those passwords between your home and office computer, phone and tablet. Sound good?

2. It’s easy to get started.

There is no need to spend a lot of time in the beginning re-typing all your passwords. Just install it and continue to use your computer as usual. When you log into a website, the password manager will recognise the new site and ask to save your password. When you create a new account on a new website, use the password manager’s “generate a password” feature to create a new, random password for that site and save it. Over time, all your passwords will be in the manager’s vault.

3. It’s more secure.

There are two main reasons that password managers are more secure than other methods.

First, you can easily use really strong passwords. For example, here’s a screenshot from the software I use, 1Password.

As you see, it’s easy to create a super tough password. This one is 24 characters long, has 4 digits and 4 symbols. By clicking the “Fill” button, that password is recorded in the vault and pasted directly into the webpage I’m viewing.

The second reason is because you don’t reuse the same password between accounts and websites. If your Yahoo password is the same as your bank’s password, that a real problem. In 2013, every single Yahoo account was hacked – 3 billion in all.┬áIf you use a password manager, a hack like that only affects one service instead of all your shared password accounts.

4. It’s better than stored passwords in your browser.

Your web browser probably already asks to store your passwords. This has a couple drawbacks.

First, you don’t have as much flexibility to sync between devices. For example, if you prefer to use Microsoft Edge on your laptop, but use Safari on your iPhone, there isn’t a good way to keep your passwords in both places. Using a password manager like RoboForm, LastPass or 1Password will allow you to keep everything in perfect sync across all your devices and browsers.

Another problem when storing passwords in the browser is when time comes to “clean your cookies”. If you aren’t careful, it’s easy to also clear all your passwords. If you don’t have those backed up, you might lose a lot of login information. Using a password manager will keep the passwords separate from the browser.

5. Business features streamline and protect your office.

If you manage confidential information for your customers, it’s a great way to protect them and limit your liability. It’s the smart way to run your office.

Business owners and office managers need a way to keep their personal passwords separate from office passwords. They also need a way to share passwords securely with employees while limiting access as needed. For example, all employees need access to the time tracking system, but only a few need access to the payroll system or the IRS online tax payment system.

A business password manager can do that for you. Each employee has a separate account with access to different shared groups of passwords. Business owners can confidently store personal information in a personal group while sharing company information with the proper employees.

Bonus Reason #6: Families also use sharing features.

Families can store and share passwords for their medical accounts, entertainment, and credit cards. Organizing them into folders by family member or type of account will give everyone the access they need.

Which password manager should I use?

The password managers I’ve mentioned in this article are popular choices, but there is no single system that works best for everyone.
